The Behaviour Coach is a sole trader business operated by Irena Amber-Freeman, providing behaviour coaching services to parents, guardians, children and families.

- Parent/guardian name and contact details (phone, email, address)
- Child’s name, age, and relevant background information
- Session notes and observations
- Payment information (where applicable)
- Any communications with me via email, phone or website forms

I use personal data to:
- Deliver behaviour coaching services
- Contact parents/guardians regarding sessions
- Manage bookings, payments and administration
- Maintain appropriate records
- Meet safeguarding, legal and regulatory requirements

I process personal data under the following lawful bases:
- Contract: to provide coaching services as agreed with you
- Consent: for working with children and storing relevant notes

Information shared in coaching sessions will remain confidential. However, where there is concern of risk of harm to a child, young person or others, information may be shared with relevant authorities.
6. Safeguarding
If I think a child could be at risk of harm I have a duty to share the information with other agencies.
7. Data Storage & Retention
Data is stored securely in password-protected and/or encrypted systems. I retain client records for a period of up to 6 years after services end, unless a shorter period is required. After this, data will be securely deleted or destroyed.
8. Sharing Your Information
I will not share personal information with third parties without your consent, unless required by law, safeguarding concerns, or to comply with regulatory obligations.
9. Your Rights
You have the following rights under UK GDPR:
- Right to access the data I hold about you
- Right to request correction of inaccurate data
- Right to request deletion of your data (subject to safeguarding/legal requirements)
